For the person at a small nonprofit who becomes responsible for a grant the day the award notice arrives, usually the same person who wrote the application and now has a signed agreement and no system.

It is not about winning grants. Everything here starts after the decision, so if you have not been awarded anything yet, this kit has nothing for you to fill in.

Know what one signed agreement obliges, when each report is due, and where every number in that report came from.

Each one is listed with what it does and, more usefully, what its structure forces you to supply. An empty cell in a funder document is a question you have not answered yet.

Eight sheets: award register, obligation register, reporting calendar, evidence ledger, spend checkpoint, renewal decision and funder contact log, plus a read me carrying three completion checks that count whether the setup is finished.

The reporting calendar takes the funder due date and calculates six dates backwards from it, ending at the day your numbers have to exist, which is usually a month before the deadline everyone else is watching.

Award acknowledgement, the scheduled interim report, a financial note, a material change, a budget revision request, a timeline change, and the late obligation disclosure. Each one is a whole letter, salutation to signature, with a length note and one guidance line you delete.

The budget revision letter asks for written approval before the money moves, and the late obligation letter opens with the date you missed and the date you are now committing to, not with an apology.

It asks what the agreement says the money is for, and tells you to copy the sentence rather than summarise it.

Six dimensions scored before anyone starts writing a renewal: programme, outcomes, obligations, relationship, cost and fit.

Each dimension is scored from the records rather than from memory, and the score is named as an input to a conversation instead of the decision.

It carries the same columns as the sheet, with the calculated dates left empty because a formula means nothing outside the workbook.

One named person may use these files for their own work, on as many awards as they like. The licence covers the work you produce, not the files themselves, so passing the blank workbook to another organisation is not included. The full wording is on the terms page.

Questions, answered.

  • Does this tell me what my grant agreement means?

    No, and that boundary is written into the files. The obligation register holds the clause as your agreement wrote it, with an owner, an approver and the evidence it needs beside it. Where the wording is unclear the answer comes from your funder, not from a template, and one of the seven letters exists to make asking easy.

  • Is this legal or accounting advice?

    It is neither. A grant agreement is a contract and a restricted-funds question can have real consequences, so where an obligation touches your legal or financial position, route it to someone qualified. The kit gives you a place to record that you did.

  • How is this different from the free grant tracking spreadsheet?

    The free tracker follows applications to a decision and gives everything after the award one cell, called Report due dates. This kit is what goes behind that cell. The reporting calendar alone gives a single report twenty-six columns and six dates worked backwards from the funder deadline, and there are seven more sheets beside it. The free file is linked on this page.

  • Do I need the course as well?

    Not for this. The course covers the work up to submission and this kit covers an award you already hold. They share no material, which is why this exists as its own purchase rather than a course tier.

  • Will it work in Google Sheets?

    It should, and here is exactly what has been checked. Every formula in it uses the long established spreadsheet functions, and the build fails if a dynamic-array or version-gated function appears anywhere in the file, so nothing in it depends on a recent Excel. That is a check on the file rather than a test run in three applications: nobody has opened this workbook in Excel, Google Sheets and LibreOffice in turn, and we would rather tell you which one we did.

  • What is already filled in?

    One or two sample rows per sheet, every one labelled as fictional, so you can see the shape of a filled row before you delete them. The same invented award runs through the worked example, from the intake questions to the renewal decision. Cedar Bend Youth Alliance and the Hollis Family Foundation do not exist.
